How to: Setup Gemstones inventory

Gemstones information is the foundation for the proper product information, both internal and external channels.

Mandatory gemstone fields: 

• Gemstone title - short stone description 
  • Used in the system display (f.i. Gemstones page, Product page, Order data)
    
  • Example:  "1.35ct D/VS1 Round diamond" , "0.01 Melee"
• Gemstone code - stone unique identifier
  • Max length: 20 characters. Allowed characters: A-Z, 1-0, "-", "_" , "."
  • TIPS: 
    • Include important inventory attributes in the code. (f.i. Clarity, Color, Shape, Creation Method).
    • Create short codes for the long-text attribute values. Examples:
      • Shape
        • Round = RO
        • Cushion = CU
        • Princess = PRI 
      • Color
        • White = W
        • Red = R
        • Intense Greenish Yellow = IGY
      • Creation method
        • Natural - N
        • Lab Grown - LG
      • Gemstone Type
        • Diamond - Dia
        • Amethyst - Am
        • Sapphire - Sap
    • Create a standardized code mask for your gemstone inventory. Example:
      • Mask - Carat Weight-Clarity-Color-Shape-Gemstone Type
      • Code - 2-VVS1-F-Pri-Dia
• Gemstone type - stone type value
  • Examples: Diamond, Ruby, Sapphire, Cubic Zirconia etc. 

Gemstone creation is done in multiple ways:

• Single gemstone creation - gemstones
• Duplicate existing gemstone - gemstones
• Single gemstone creation - product page
• Bulk gemstone creation - gemstones import
• Bulk gemstone creation - products import

Single gemstone creation - gemstones page

1. Go to Inventory -> Gemstones page
2. Click the button and select "Add Gemstone"
3. Fill in all mandatory fields marked by "*" 
4. Fill in all related additional gemstone parameters, such as type, stock, and weight
5. Click "Save and exit"

Duplicate existing gemstone

New gemstone can be created based on the existing one. This is useful when a similar gemstone already exists in the system. 

1. Go to Inventory -> Gemstones page
2. Select a gemstone to duplicate 
3. In the Tools column, select "Duplicate"  
4. Adjust new gemstone fields according to the new gemstone parameters
5. Click "Save and exit".

New gemstone - product page

New gemstone can be created directly on the product page:
 

1. Open product in Catalog.
2. Go to "Basic" tab -> Materials section 
3. Click the button
4. In the "Select..." dropdown -> "Add new"
5. Fill in the fields in the "Add gemstone" pop-up
6. Click "Yes"

To change or update the created gemstone information, find it on the Gemstones page, or use the "View" button to enter the gemstone page directly from the product page:

Bulk gemstone creation - products import

Gemstones can be created as part of the product import process. When uploading new products, Valigara identifies gemstones as part of the product and creates matching gemstones.
